Coordinate with teams for shipment discrepancy, missing or damaged cartons Verify freight charges, declaration fees, tax and duty and warehouse charges Data Administration of Logs and POS and support retail related activities Ensure the transactions related to stock movement are recorded correctly in the systems Stock movement reconciliations including daily stock discrepancies, stock take, family sales and month end closing enquiries Price change coordination and data integrity Supports stores with stock rebalancing Support the Retail and Merchandising teams on the transfer of merchandise, Communications on events in the region and others if needed Provide instructions to departments on the packing requirement, pro-forma invoice and packing list format when necessary Proactively recommend solutions and instruct freight forwarders and warehouse to ensure Brand's expectations and deadlines are met in a cost-effective way Support in High Jewelry event including import/export, on-site packing/unpacking, support time sensitive shipping schedules Other Logistics responsibilities Shipment Coordination - daily communication with appropriate stakeholders (Broker vendor, Vendor/ Forwarder Logistics, and Courier relations) for all shipment related inquiries concerning clearance processing, invoice/packing lists discrepancy correction, amendment requirements and delivery instructions to ensure progress of shipments and items are delivered at most efficient lead time. Track/update information on merchandise shipments such as part/ material/dimensions (weight of gold, silver, diamonds, gemstones, etc.) for each shipment after receiving data from the operation department. Provide commodity name in Vietnamese for customs declaration. Provide it to Operations and accountant department of Party B to upload in the VAT system. Monitoring and Documentation - ensures all shipments are tracked and files according to shipping document are being filed accordingly for proper archiving and doc reference. Coordinate with Operations for after-sale cases that are shipped out to repair center in oversea or domestic, with and without warranty, including preparing service agreements and spare parts information. Follow up with shippers and accounting team to clarify payment methods and revise shipping invoice (if necessary). Other Logistics matters (Duties/Taxes monitoring, Lab inspection, Testing, checking permit application, Price consultation, post-customs clearance inspection, food touch, conformity certificate, etc) - attend to all logistics-related inquiries of internal and external parties. Prepare sale contract of merchandise/ holding asset agreements for TIB shipments and return agreements. Prepare revised invoice and labelling file for sold order request shipment from other countries. Support to follow up supporting package document need to be signed (local official dispatch, agreements.)
